Personal and Executive Assistant


Job Summary:

The Personal and Executive Assistant will provide complete and dedicated support to the CEO in a variety of personal and professional endeavors, including but not limited to travel and calendar management and completion of personal tasks and errands.  Experience with lifestyle brands (e.g., wine and spirits, fashion, beauty) preferred and ability to thrive in a fast-paced dynamic environment required.  Extremely high level of attention to detail and ability to proactively anticipate needs are essential. The role will support the CEO directly and will liaise and coordinate with other members of the Executive and Administration teams..

Personal Assistance (45%)

  • Work at CEO’s home or other locations as requested.
  • Completion of personal errands and household requests.
  • Organization of personal domestic and international travel.
  • Liaising and coordination with other personal service providers.
  • Completion and resolution of required personal paperwork and documents.
  • Shopping and delivery of gifts and personal items.
  • Completion of arrangements for personal events and vacations, including preparation of detailed itineraries along with the foresight to think through all logistical details.
  • Demonstrated competency with supervision of small children.

 

Executive Assistance (45%)

  • High level schedule and calendar management.
  • Organization of business domestic and international travel, including preparation of detailed itineraries along with the foresight to think through all logistical details.
  • Management of communication with internal and external stakeholders.
  • Liaising and coordination with other departments and external business contacts.
  • Management of relationships and initiatives.
  • Coordination of public appearances.
  • Serve as a proactive gatekeeper to the principal’s schedule, enhancing stability and serenity in the CEO’s workday.
  • Compilation of accurate and professional slide decks for presentations.
  • Advance anticipation and preparation of meeting needs.
  • Taking and retaining of meeting notes and management of post-meeting take-aways.
  • Routine travel and support at company events, both domestic and international. 

 

Additional Tasks and Responsibilities (10%)

  • Ad hoc tasks as assigned.
  • Occasional complex side projects as assigned.

  • Excellent organizational skills and the ability to prioritize tasks in a fast-paced environment.
  • Ability to juggle a large number and wide variety of tasks at one time with composure and poise; ability to stay calm and focused in stressful situations.
  • Confidence in communication and in handling last minute requests.
  • Ability to take effective action without having to know the total picture, and efficiently and proactively resolve difficult and complex problems.
  • Ability to think critically in the moment to effectively perform unfamiliar tasks quickly.
  • Ability to maintain the highest level of discretion at all times.
  • Willingness to go above and beyond; drive for results.
  • Excellent time management skills.
  • Ability to be on call, as needed, for travel support.
  • Ability to work flexible and non-standard hours as required.
  • Strong computer skills including but not limited to spreadsheets, word processing, presentation software, expense software, etc.

 

Education and Experience

  • Prior experience in personal and professional support of a high-level executive, celebrity, or other publicly known individual required. 
  • Bachelor’s degree in Communication, Psychology, or any other relevant field preferred.
  • Lifestyle brands or wine industry experience preferred.
  • Valid CA Drivers License/auto insurance and reliable transportation.

 

Physical Requirements

An ability to lift up to 65 pounds for internal photography assignments.

Prolonged periods of sitting at a desk and working on a computer.

Ability to routinely travel via aircraft, automobile, train, or watercraft.
